This Privacy Policy explains how joyin LLC ("Soundwise", "we", "us") handles information when you use soundwise.ai and our transcription and text-to-speech services (the "Services"). If you have questions, contact us at joy@soundwise.ai.
1. The short version
- Free local transcription happens entirely on your computer. Soundwise uses OpenAI's open-source Whisper model, which runs on your own device. Your audio and video files and the resulting transcripts are never uploaded to our servers or to any cloud service. The first time you use it, your browser downloads the model; after that, transcription runs on your device. We only receive usage statistics that contain no content, such as file length, file size and whether the transcription succeeded, never the file name, the audio or the text.
- Cloud transcription is optional and private. Only when you choose cloud transcription (the free gift pack or Soundwise Pro) is your file uploaded. Your files and transcripts are encrypted in transit and at rest, and are processed solely to provide the transcription and storage features you requested.
- Your content is yours. We do not sell, share, publish or make your content available to other users, and we do not use it to train AI models.
- You are in control. You can delete your cloud files and transcripts at any time.
2. Information we collect
Account information. If you sign in (with Google or with an email verification code), we receive your email address and basic profile information such as your name and profile picture from your sign-in provider.
Content you upload for cloud transcription. If you choose cloud transcription, we receive the audio or video file you upload and store the transcript we generate for you. We do not receive any content from free local transcription.
Payment information. Payments are processed by Stripe (cards, Alipay and WeChat Pay). We receive confirmation of your purchase, your plan and limited billing details. We do not receive or store your full card number.
Usage information. We collect information about how the Services are used, such as pages visited, the referring website, device and browser type, feature usage, and the length, size, format and outcome of transcriptions. This information does not include the content of your files or transcripts.
Cookies and similar technologies. We use cookies and local browser storage to keep you signed in, remember your preferences and store your local transcripts on your device. We use analytics tools, such as Google Analytics, to understand how visitors use our website, and Google Ads conversion tracking to measure the performance of our own advertising. These tools do not receive your files or transcripts.
3. How we use information
We use information to:
- provide, maintain and improve the Services, including cloud transcription and storage;
- process payments and manage subscriptions;
- send you service messages, such as verification codes, receipts and important account notices;
- prevent fraud, abuse and misuse of free offers, and keep the Services secure;
- comply with legal obligations.
We do not sell your personal information, and we do not use your content for advertising or to train AI models.
4. Who processes your information
We work with carefully selected service providers that process information only on our behalf and under confidentiality obligations:
- cloud hosting and storage providers;
- speech recognition providers, which process cloud transcription files only to generate your transcript;
- a payment processor (Stripe);
- an email delivery provider;
- analytics and advertising measurement providers (such as Google Analytics and Google Ads);
- sign-in providers (Google), if you choose to sign in with them.
We may also disclose information if required by law, to protect the rights and safety of our users or the public, or as part of a merger, acquisition or sale of assets, in which case this Privacy Policy will continue to apply to your information.
5. How long we keep information
- Local transcripts stay in your browser until you delete them or clear your browser data. We never have a copy.
- Cloud files and transcripts are kept until you delete them or your account. When you delete them, they are promptly and permanently removed from our active systems; any residual copies in routine backups are deleted automatically on our backup schedule.
- Account information is kept while your account is active. You can ask us to delete your account and its data at any time by emailing joy@soundwise.ai.
- We keep payment records for as long as required for tax and accounting purposes.
6. Security
We protect your information with encryption in transit (HTTPS) and at rest, access controls and regular security practices. No system is completely secure, but we work to protect your information and will notify you as required by law if a breach affects you.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact joy@soundwise.ai. We will not discriminate against you for exercising your rights.
8. Children
The Services are not intended for children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children.
9. International users
We and our service providers may process information in countries other than your own. When we do, we take steps to ensure your information remains protected as described in this Privacy Policy.
10. Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. If changes are significant, we will provide additional notice.
